Automated Appointment Reminders for Grooming Salons: What Works in 2026
Most no-shows are not people being rude. They are people who booked eight weeks ago, wrote it down nowhere, and remembered at four o'clock on the day. A reminder fixes that. A badly timed one does not.
Appointment reminders for grooming salons are simple in principle. The detail that matters is when they go, which channel carries each one, and what they say. Here is the setup that works for most salons and vans, with three messages you can copy today whether you use GroomSlot or not.
The schedule that works: three messages, not one
One reminder the night before is where most groomers start. It is better than nothing, but it arrives too late for the job you most need it to do: giving you enough notice to fill the slot if someone cannot make it. These three messages cover both jobs.
- At booking: the confirmation. Sent the moment the appointment is made, whether you booked it or the client booked online. It is the written record that ends "I thought it was Friday".
- Two days before: the main reminder. This is the one that protects your diary. Two days out, a client who has double booked themselves still has time to tell you, and you still have time to offer the slot to a regular who wanted to come in sooner.
- The day before: the nudge. Short and practical. What time, where, and anything they need to do first. It catches the people who read the first reminder and forgot again.
If your cancellation policy asks for 48 hours' notice, the two day reminder lines up with it neatly. A client who cancels after that message has had a clear, dated warning, which makes a late cancellation fee much less awkward to charge. If you have not written a policy yet, start with our UK cancellation policy template.
Which channel for which message
Not every message belongs in the same place. A rough rule: if the client needs to read it or act on it soon, send it to their phone. If they might want to look it up later, send it by email as well.
A reminder schedule for a grooming salon
| When | Best channel | Its job | |
|---|---|---|---|
| Booking confirmation | As soon as it is booked | Email, plus WhatsApp | The record: date, time, address, price and your policy. |
| Main reminder | Two days before | WhatsApp, with a text as backup | Gives you time to fill the slot if they cannot come. |
| Day-before nudge | The day before, at a set time such as 8am | WhatsApp, with a text as backup | Arrival time and anything to do before they set off. |
| Deposit request | At booking | WhatsApp or email, with a payment link | Turns a booking into a commitment. |
WhatsApp suits the short messages because people open it, and because they can reply. We made that case in full in WhatsApp for dog groomers, including why a text you can never see being read is a weaker reminder than it looks.
What to say: three reminders to copy
Keep them short. Name the dog, give the day and time, and say what to do if plans change. Swap in your own names, prices and times.
The booking confirmation
Hi Sarah, Milo is booked in for a full groom on Thursday 14 November at 10am at Waggy Tails, 12 High Street. The price is £56. If you need to change anything, please give us 48 hours' notice. See you both then!
The two day reminder
Hi Sarah, just a reminder that Milo is booked in with us this Thursday at 10am. If you need to move it, reply to this message today and we will find you another time. Thanks!
The day-before nudge
Hi Sarah, see you and Milo tomorrow at 10am! A quick walk before you arrive helps him settle on the table. He should be ready around 12, and we will message you when he is nearly done.
Look at what they leave out: no apologies, no essay, no list of rules. The confirmation carries the detail. The reminders only need to be read in a few seconds, standing at a bus stop.
Reminders work better with a deposit behind them
A reminder solves forgetting. It does nothing for the client who remembers perfectly well and simply does not fancy it on the day. That is what a deposit is for. Once someone has paid towards the groom, the reminder stops being a polite nudge and becomes a note about money they have already spent.
The two work as a pair. In GroomSlot you can take a deposit when the booking is made, or keep a card on file and charge a no-show fee only if the dog does not arrive. If you choose to hold bookings until the deposit is paid, an unpaid deposit request goes out in the reminder's place, so the chasing happens without you. The options are laid out on the no-show protection page.
How GroomSlot sends them
You set it up once in your settings. Email and WhatsApp each get up to two reminders, and each one can go a set time ahead, from one hour up to three days, or the day before at a time you choose, such as 8am. The schedule above is then two WhatsApp reminders, or an email two days out and a WhatsApp the morning before. Change the timing whenever you like and the next reminders follow it.
Reminders go on WhatsApp first. If a client's number is not on WhatsApp, the same reminder goes as a text instead and counts as one message, not two. You pick the tone of the wording (straightforward, friendly or personal), you can add your cancellation policy to every reminder, and a booking with more than one dog gets a single message rather than one per dog. Email reminders use your own template and logo, and they do not touch your monthly message allowance.
When a client replies to a WhatsApp reminder, the reply lands in your GroomSlot inbox, so "can we make it 3pm" reaches you instead of disappearing. There is more on the settings on the automated reminders page.
Switch it on, then check in a month
Turn on the confirmation and both reminders, then leave them alone for four weeks. Count the no-shows and late cancellations against the month before. If the forgetters have gone and the no-shows have not, you do not have a reminder problem. You have a deposit problem, and that is a much easier conversation to have than you think.
